FAQs

Our Santa experience is a tractor trailer ride into our woodland to find Santa in his cabin. Once inside with Santa, children will be given a wrapped gift, tell Santa what they want for Christmas and be able to choose a gift from Santa’s toy chest. There may be singing, a story and a little Santa magic before heading back to our farm shed.
-
Our experience is a group experience. You will be with other families also going to see Santa, but he will speak to each ticketed child. Should you wish a more private experience you can book a full trailer (see below).
-
The only way to guarantee you will be on the same trailer to see Santa is to either book as one booking or failing that please email info@woodlandexperiences.co.uk with the order numbers booked for the same time and we will do our very best to keep you together.
-
We ask that everyone arrives 30mins in advance to allow for check in and to keep the experience running on time. Please allow plenty of time for travel to us. We understand that things happen and you may get stuck in traffic so we have the following rules –
We will always TRY our hardest to get you on your booked trailer.
Should you arrive less than 10mins to your booked slot we reserve the right to move your booking to a later slot to avoid anyone missing out.
Should you arrive after your booked time, we will do everything we can to get you on another trailer but please bare in mind we are very often fully booked and you may end up missing out if there are no further available slots.
Should you be en route to us and have worries about being late please get in contact with us. Letting us know could make all the difference and we may be able to move bookings around in order to save you missing out. Due to the nature of the experience we cannot guarantee our phones will be answered so the best (and quickest) way to get in contact with us is via email. If you choose to give our phone line a call, please leave a voice message and we will attend to it as soon as we can. Our phone number is 01360 752 052 email is info@woodlandexperiences.co.uk

Yes we have a free car parking onsite.
-
Our tickets are non-refundable. If someone is unwell, please let us know as soon as you can and we will do our best to transfer you to an alternative date. If you do not contact us until after your booked slot, your booking will be closed and unable to be transferred. Any issues please contact us.
-
To avoid disappointment and upset children, please be aware that Santa’s Woodland experience is a unique and personalised experience. Buying tickets from sources other than our website means that your little ones will not have their names on the personalised gift. Please also note that we can only make changes on bookings when they come from the original ticket holder.
-
Should you need to change the children’s names or ages on your booking, for example, bringing a different child in the event of an unexpected illness, we will do our best to accommodate your request however there will be a £5 admin fee if done before 48hrs prior to your visit or £10 if within 48hrs of your booking (please note that names on a full trailer booking will incur a £10/£20 admin fee depending on the timeframe). The fee is to ensure the personalised gift is available at the time of the visit. This can be arranged by emailing us at info@woodlandexperiences.co.uk
-
As stated in our terms and conditions our tickets are non-transferable.
Any transfers made are at the discretion of Woodland Experiences, will incur a transfer fee and will not be possible due to adverse weather conditions.
-
Unfortunately there is a strict no dogs policy and no dogs are allowed on site. Assistance dogs are allowed onsite but proof they are an assistance dog MUST be shown prior to your visit.
-
We have an accessible trailer but need to know this in advance should you require it. Once you have booked your experience, please email info@woodlandexperiences.co.uk and we will make a note on your booking to be sure you are placed on the correct trailer.
-
Please be aware you will be outside for short amounts of time on this experience. We have been opening in December since 2014 and have not closed due to weather in that time. Please be prepared for the Scottish winter and leave plenty of time to travel to us and also dress for the weather. If we are open and running as normal refunds are not permitted and we are unable to transfer tickets.
In the unlikely event that we have to close due to the weather we would update our website and Facebook pages first before contacting individual bookings – should you have any concerns please check our website or Facebook page in advance of your booking.
-
Our autism friendly evening is a calmer evening with a smaller amount of people per trailer and in our shed. We have a maximum of 5 children for each slot allowing Santa more time with the children. We will be in touch with you in advance to find out more about your child(ren) and how we can make the experience magical. We have a photo storybook to email you in advance so you can show your child(ren) where they are visiting and what will happen on their visit
-
Before leaving on the tractor everyone is offered a chocolate from Santa. In our sweetie basket (in a separate bag) will be a free from alternative. This year we have chocolate from a company called Play in Choc (website can be found here) who make dairy, nut and gluten free chocolate – it’s delicious!
-
While we have space in our shed for prams unfortunately we do not have space to accommodate them on our tractor or in Santa’s house. We would ask if you could carry children or use a carrier. If you have any issues please email info@woodlandexperiences.co.uk
-
Please note that due to child protection reasons it is our policy not to allow bookings containing only adults unless they are attending with another booking (including children). Should you book for adults only we will be in contact with you to clarify the party you are joining. If we do not receive a response within 7 days (from 24th Nov a 24hr notice period will apply) this may lead to us cancelling your booking.
-
We have held Autism Friendly sessions on a weekend in the past but we found it was very difficult to control noise and sensory triggers.
Weekends are incredibly busy and full of noise and sensory overloads and it is very difficult for us to ensure your child's needs will be met.
-
Our child ticket includes a gift from Santa, individual time with Santa and the ability to pick a toy of their choice from Santa’s Toy Chest. Whilst we cater for a child up to the age of 15 should they so wish to receive a gift and time with Santa, we understand that there are children as young as 12 to 13 who are simply attending to be with younger family members and see them enjoy experience. If this is the case you are able to book your child as an adult ticket. Please note however, should your child change their mind, we would just charge the difference between an adult and adult ticket.
-
Each session is timed precisely from leaving the shed to returning to the shed. Full Trailers have a child capacity set at 10 children so that each child receives an interaction with Santa and to allow each family time to take a family photo. Any addition to the maximum number of 10 children directly impacts on this meaning children get less time and possibly no photo as the trailer needs to return promptly for the next group.
Whether your trailer is a full trailer booking with friends and family or a general ticket full of children, the capacity stays the same due to the strict timing of the event.
